File management – next steps

As you will be aware, we have been grappling with the topic of file management and SharePoint for some time now..!

In September last year Theresa presented the final report of the File Management project team to the Library Managers Meeting (LMM).

LMM discussed the recommendations and concluded [from the minutes]: “There is a substantial ongoing problem with how and where we store files and how staff access and use the various 19+ locations.  Only the first recommendation was discussed.  At the moment there is no clear UC wide commitment for support for SharePoint, or the retention of network drives.  Unlikely to secure dedicated resourcing, so most likely to have to come from within our existing staff to maintain Joan’s 2014 project and the ability to provide continuous training“.

Since September, the Library Managers have had three meetings (using the Problem Solving Circles) to discuss the issues in more detail.  You can follow the progress of this discussion (Steps 1-5) on this document.  We have agreed a number of things we want to accomplish and brainstormed some solutions, considering the pros and cons of each.

We have agreed the best way forward for now is to break things down into smaller chunks and to get some “quick wins” underway by the end of March.

Sara and Tim will lead this work and we will be:

  • Identifying quick wins
  • Targeting some key storage locations to provide clarity around what they are used for including the use of DropBox, Google drive and the location of PD+R/Bob documents
  • Progressing the work led by Joan in 2014 and the work of the File Management Project Team led by Theresa in 2018
  • Learning about recent developments – eg Anton’s post yesterday about Dropbag
  • Consulting and providing information along with progress updates via Counterculture
