Storage move update

To make it easier to retrieve items held in store, we have consolidated them:
– Journals A-M in Henry Field Library Store
– Journals N-Z in Law Basement
– Special collections (including theses) in the Library Warehouse

The Library Warehouse now holds the De Jong collection storage items and Brian Douglas music scores, which were previously held in the Law Basement. Other notable changes include
– the LP collection,
– the Bishop Grimes collection and
– a large number of artworks are now stored in HFLS.

eServices are amending the locations in Horizon now. The locations are likely to be a bit erratic until we have completed the next stage of the project. This stage will mean we move all store monographs to the Henry Field Library Store (HFLS).

Antarctic Collection

A new Memorandum of Understanding (MoU) has been entered into between UC and Antarctic New Zealand regarding the management of the Antarctic Collection.

Since 1999, the Library has administered the Antarctic Collection on behalf of Antarctica New Zealand. The MoU had not been revised since its original drafting in 1999. It was out-of-date and included restrictive clauses, which hindered the effective management of collection by UC. The Library also has two separate collections on this area, one belonging to UC and the other Antarctica New Zealand.

An impending movement of the collection to the EPS Library (in 2017) as part of the Education Library preparation, provided an opportunity to review how we managed the collection and the MoU. The Library particularly wished to integrate the two collections to make them easier to use.

To help the review, various meetings took place between the Library and

* Dean of College of Science
* Gateway Antarctica
* Antarctic New Zealand

The result of these discussions were

* An exhibition in EPS Library of Antarctic material (joint venture with Gateway Antarctica – proposed to continue annually) to coincide with Antarctic Week
* A revised MoU, which allows the integration of the Antarctica NZ collection into the main collection

Storage moves

Storage moves will be taking place over the next three weeks. We will be consolidating all the N-Z journals into the Law Basement.

Non-work related plea

*UPDATE* Thanks everyone! I now have a car seat, cot and buggy. Thanks to everyone for their speedy offers!
My sister and baby niece are visiting me early 2018 (15th Jan – 6th Feb). Would anyone be able to lend me a car seat, cot and buggy for that period? My niece is 6kg currently and will be seven months old in January. If yes, please drop me an email or comment below. Thanks!

Library Systems

Which Library systems do you use? For those who enjoy geeking out over technical stuff, we have updated the document which describes the digital architecture of the Library. UC website – proposed structure

The Online Experience Project Team at University of Canterbury has been working on a new website structure. Now they need to test it with real people to get feedback to make final adjustments before it goes live.

Your data

As PeopleSoft is currently being upgraded, I thought useful to provide an update on how your information is held.

HR use PeopleSoft to hold a variety of personal information, including

  • contact information,
  • qualification info (but only if a requirement of the role) and
  • date of birth (your managers can only see your day/month and not year of birth).

The latter is held because of pay legislative requirements relating to among other areas, superannuation and minimum wage.

If you joined UC in the last couple of years, you would have completed an Employee Personal Data form.  This explains how any data held by UC which relates to you will be used.
