Te Reo list of terms for the roles and units in UC Library

Te Ohu Reo have provided us with a list of terms for the roles and units within the Library.

They have made the terms as simple as elegant as they could.  The roles and unit terms are not necessarily direct translations of the words in the English titles.  Te Ohu Reo avoided this as it could have led to long and clumsy ‘first go’ terms that are not easy to work with.

The following purchasing guidelines have been circulated to Library Officers and will assist purchasing for 2016.

Copyright Project update

The Copyright Management Project work is progressing well.

All academic departmental heads have been contacted about the provision of material outside Learn and how to maintain copyright compliance. Library staff are now working directly with selected academics to make sure their content is provided to students via Learn and in a copyright compliant way.

This provides step by step instructions on how to provide copyright material within Learn, plus background and further help.

Work has begun on creating the required functionality to make sure reporting to Copyright Licensing New Zealand (CLNZ). It is expected this will be tested and released in March.

Symplectic Elements

Research & Innovation are managing a project to replace the existing research output management system (Output module of Profiler) with Symplectic Elements.

Their business case was successful and the project has just begun.  Implementation will begin now with the system going live in early 2017.

The other modules in Profiler will remain and Symplectic Elements will be integrated with Profiler, PeopleSoft and the UCRR.

One of the advantages of the new system will be its links to Web of Science and SCOPUS, allowing academics can retrieve their citation data from these services.

Intota

Intota is supplied by SerialsSolutions. Access & Collections are starting work on the implementation of Intota.

As you may have been able to guess by the name, Intota aims to give a ‘total’ solution to Library management so longer term it’s a possible replacement for Horizon.  It’s developing into an Integrated Library Management system so can manage electronic and print resources.

To start, we’ll just be using it as a replacement for our ERM (360 Resource Manager).  We’re working on adding printed materials so we can report on the usage of both together, later in 2016.

Intota is supplied by SerialsSolutions.  Intota’s name, provides the same functionality as the legacy products (e.g. 360 Counter), which were provided as a suite of loosely coupled systems.

Financial year end

When submitting invoices to be paid from 2015 funds, please bear in mind the following Finance dates:

  1. Cutoff for last foreign payments… 10th Dec
  2. Final payment run for foreign invoices… 15th Dec
  3. Cutoff for last payments… 17th Dec
  4. Final payment run for NZ invoices… 23rd Dec
  5. Final p’card use… 22nd Dec

Library Access and Collections will stop processing invoices for 2015 on December 17th.

Horizon rollovers will happen on 14th (test) and 21st (live) December.

We aim to start processing invoices for 2016 in the first week of January 2016.

Copyright Compliance project

Learn has been selected as the UC Copyright Management tool.

Learn was chosen over Equella, Talis Aspire and eReserve.  The in-house functionality and Library staff work carried out for the eLinking project was instrumental in allowing this decision.  Thank you for enabling us to choose a system which allows us to meet Copyright Licensing New Zealand requirements with minimal academic disruption and at a lower cost to UC.

The new copyright licensing agreement with Copyright Licensing New Zealand requires us to automate collecting and reporting on all copying of published materials for teaching.  Reporting functionality is being worked on now by ICTS.  We will likely send reports to CLNZ three times per annum.

As the project continues, academics and students will also experience small differences in Learn, such as more copyright notices and improvement to the upload process.

Learn should now be used for storing all copyright material used in teaching.  Library staff will be contacting Colleges about teaching materials outside Learn and how to ensure copyright compliance.
