Systems Librarian EOI

Are you interested in digital systems and technology and enjoy technical problem solving? This is an opportunity to temporarily join and support the Library Systems team part-time.

Leah from the Library Systems team is going on leave for 6 months, due to health reasons. I am therefore seeking expressions of interest (EOI) from library staff to join the Library Systems team as a fixed term secondment.  Details below.

  • Band 4 role for 6 months, from 8 July 2024 to 8 January 2025
  • 6 FTE (22.5 hours per week)

The hours of work can be flexible and negotiated. It may be possible for fulltime staff to remain in their current role for the other 0.4 FTE.  I am also open to suggestions or ideas of other flexible work practices. I welcome applications from any interested member of the library team from bands 2 to 4.

The role of the Systems Librarian is to provide support to the Library Systems Coordinators (Claire, Donna & Romy).  Training will be provided, and this is a fantastic opportunity to improve your technical skills and gain experience in a supportive environment. The tasks include working with: Folio, library webpages, Research Repository, Databases, Minisis, ADO, plus more.

Student Room Booking System moving to TimeEdit

The current library discussion room booking system is moving to TimeEdit on Monday 13 May.  Important things to know below.

  • Existing bookings between 12-19 May are being migrated onto TimeEdit
  • Existing bookings from 20 May onwards, will be cancelled.  Students will need to re-book on TimeEdit
  • ALL users with existing bookings will be emailed and notified what the change means for them
  • TimeEdit allows users to book up to 15 hours per week in total. Each room can be booked for maximum of 3 hours.
  • Some library staff will have admin rights in TimeEdit to cancel bookings or close rooms.
  • TimeEdit will go live later this week, so students can start booking on the new system
  • Webpage links to the current Room Booking pages will be updated Monday morning
  • Information posters will be put in all the Library Discussion rooms

Staff room bookings for library teaching/consultation spaces is being moved to a different system.  Contact Kim Hall for details

PJH Music material on the move

All the music collection is being moved from Level 6 of PJH up to Level 7.  More details below

  • includes miniature scores and the call number ranges starting with M, ML, MT
  • Move starts 30/4/2024, but will be done slowly (early in morning until the floors gets busy).  It may take a couple of months.
  • We will update locations on the Catalogue as items are moved
  • Signage will be put up on both floors on the stack ends as items are moved

How to report faults or feedback about Folio and MultiSearch

As we all start to delve deeper into our new systems, we will discover things that don’t quite work as expected, or things that we can’t do quite as we used to in our old systems. You will also receive feedback from our students/staff as they start to engage with our new systems. Below I have listed the places you can go to seek help or pass on feedback.

  • Please first check the ⁠MLM training page on Sharepoint. There are lots of resources on this page including links to Info Sheets & Guides on the right navigation bar and Listening to the Waka Board which lists know bugs or enhancement requests. It also lists all the Functional Co-Lead staff from the MLM Project
  • Discuss with the Functional Co-Lead for your area to see if this has already been reported.
  • Report any new issues via ⁠UC Services Portal – there are 3 new reporting forms relating to FOLIO.   You can use these for MultiSearch as well. You can find the forms by searching for Library in the main search box or under Raise an IT request and selecting Library.
  • If the query is about accessing an electronic resource, please email collections@libr.canterbury.ac.nz
  • If the query is urgent eg. student can’t login, then please contact Library Systems

Physical Collections Project Update – Level 7

Action is taking place on Level 7 for the next few months as part of the Physical Collections Project.

  • Stock is being weeded or moved to Store/MB
  • Stock is also being shuffled within the floor
  • The shelving bays nearest the windows are being emptied and these items moved to empty shelves.  The items moved will be well labelled with signs
  • In late January, the window bay shelves will be removed
  • Lighting sensors will be disconnected and lighting moved to one central control
  • We will add more tables/seats along the windows once the shelving is removed to give us more study spaces

DVDs in PJH – location change

Please note the following changes to locations of DVDs in PJH Library

  • Some DVDs in PJH have moved from Level 7 to Level 8
  • The DVDs without a NZ classification have moved to Store B, but are requestable
  • There are no DVDs left on Level 7
  • All locations have been updated on the Library Catalogue

The DVD collection has reduced in size after we went through a recent deselection exercise, and had a giveaway.

Collections Projects Update

A couple of updates to share.

Henry Field building is now empty of Library material and has been handed over to the Digital Screen campus for remediation.

Books in the Dovedale Annex up to the end of the PR sequence are now available for retrieval. There is still a small amount of material yet to be unpacked in the Annex and put onto shelves, which still shows as temporarily unavailable on the catalogue.

The Library now has a new storage area in the Law Basement with library shelves in place. This will be called Basement Area 2 and is located in the Northwest corner of the basement. There is a key required to open the gate to this area, which is kept in ELS key cupboard and LAC.

The Education Stack collection is now unpacked and available for retrieval from Area 2 in the basement.

Physical Collections Project Update

I’m delighted to announce that Jane Agnew will re-start this week as Project Coordinator to assist with both the Henry Field Relocation Project and the From Physical Collections to Learning Spaces Project. Jane will be working 0.5FTE in the coordinator role for the next 6 months and continue with her current ELS team role for the other half.

This week, the remaining items left in Henry Field building will be decanted.  Books are moving to both the Dovedale Annex and the Law Basement.  The remaining shelving and furniture will be removed as well to make way for the refurbishment of Henry Field building for the Digital Screen campus occupation.

Some new shelving will be installed in the Law Basement in the NorthWest corner in a few weeks, and this space is being prepared and tidied this week.

Free DVDs

We have recently reduced the DVD collection in PJH, and the withdrawn items are available as a free giveaway.  There are trolleys of DVDs in the room next to the tearoom on level 5 of PJH, so help yourself.

We will leave them here for a week for library staff to have first dibs at, then they will go down to level 2 for a giveaway to everyone else.

More items available in Store H

There is now more of the Store H collection available for requesting and we have removed the Temporarily Unavailable status from these items.  Collection in the Store H call range A – QP should now be available, but it excludes some P material.

All items that were kept on level 2 of Henry Field are still unavailable, but we hope to have these available by end of August.

Further updates will come as we make progress with moving, unboxing and shelving the remaining material that is still located in Henry Field building.

Thanks to the hard work of our casual staff who have been busy over at Dovedale unboxing the collection.
