Whenever a Canterbury card is reported lost to either Security or the Card Co-ordinator, they are requested to send a quick email to ‘Library Central Lending’ email account. Our staff will de-activate the barcode on the borrower’s record. A card can be de-activated at any Lending desk if the borrower presents photo identification. Please ask your Supervisor for assistance if you do not know how to make a card ‘lost’.
When the card is presented at a Lending Desk the staff member will see an ‘Alert’ when the card is scanned to open the Library account. They will check that the presenter matches the photo before reactivating it. If it is clearly not the correct person, the card will be retained by the Library and sent to Security as lost property to be re-united with its real owner.
Discussion between JadeSMS Manager, College Administrators and the Library has resulted in the following compromise for the 800 students affected by a change in their status. The change will not be reversed, however, JadeSMS Manager is sending the following email to all affected students in 31 different Graduate Diploma courses:
“Dear student
As a result of an audit of our Student Management System, it was found that students enrolled in Graduate Diplomas had incorrectly been assigned postgraduate library lending privileges. This has now been corrected.
This means that rather than borrowing up to 50 items at a time, for a standard loan period of 60 days (subject to the item being recalled for another borrower), you are entitled to borrow up to 25 items at a time, for a standard loan period of 14 days. Interloans will not be funded by your department.
If you currently have more than 25 items out, you will be unable to borrow more until you are within the lower quota. Items already issued on long term loan will still be due on the original date, but can be recalled if requested.
We apologise for any inconvenience that may have been caused by this error.”

Some of you may already have come across students who overnight have lost their research student status and become undergraduates. This unannounced event has occured because the ‘Postgraduate flag’ was removed from at least 5 courses on Jade and caused the reload of approximately 800 student records and a consequent downgrade of their library status. Known courses are:
Graduate Diploma in Teaching & Learning; Graduate Diploma in Management; Postgraduate Certificate in Antarctic Studies; Postgraduate Diploma in Social Work; Graduate Diploma in Accounting and Information Systems
Once discovered, this was reported to College of Education and is being discussed with the Manager of Jade. It may be reversed. If not, there will be a number of baffled students who have out more than their new quota of 25 items and on long term loan. Please assure them that this is being followed up.
This is a good opportunity to remind students of the other avenues open to them for seeking renewals when ‘My Account’ is unavailable.
1) PHONE US – Central Library was open 10 am to 10 pm on Sunday
2) COME IN – and request a renewal at a lending desk
3) RETURN THE OVERDUE: always a serious option where renewal is not available for whatever reason
Renewals are never guaranteed, so the internet problem may be irrelevant to whether they could have renewed the item.
My suggestion is that if that the fines incurred relate to this weekend only, a waiver (plus reminder above) is fair. If the fines relate to a longer overdue period (which includes the weekend) , look closely at whether the item would have been renewable – reduction maybe, but no complete waiver.

When the CL Self Check machine feels a need for a new role of paper, it sends an email to the Libr276 (Notices) account. Lending staff monitoring this account should pass the message on to either the Lending Backup or CKI person rostered at that time.
The key for the Self Check machine is in the Key Cupboard – see the directory for the number. Take THERMAL paper from our supplies (as directed by the tag on the key) and insert in the Self Check machine. If you need a refresher on this process, see Romy or Helen.

The Card Co-ordinator is now available to process External Borrower cards in the USCA, Building Lower Common Rm except for Friday 6/3/09. On this date he moves back to Room 109, Science Lecture Block.
All normal card making will resume in the Science Lecture Block from Monday 9th March.
To assist staff at the Lending desk in managing queues, please advise prospective ULANZ/CTA students to go through the registration process with us BEFORE they bring big piles of books to be issued and lots of questions. They often come in small groups and trying to do everything at once has been causing considerable delays in providing a lending service to UC students and staff at the same time, especially if there are only two lending staff on duty.

Please advise customers who pick up an Asklive fridge magnet card that it is not a good idea to put these into their wallets (despite them being wallet sized). They will run the risk of de-magnetizing their Canterbury card and bank cards.

Monday 16/2/09 to Thursday 26/2/09 (inclusive)
All card machines are geared to making student cards during Enrolment.
No new external borrower records will be made during this time, but ULANZ/CTA records will continue to be made.
