Interloans when an item is ‘missing’ from our collection

If an item is noted in the catalogue as either ‘missing-tracing’ or ‘lost’ then our staff and students can request this as a standard Interloan and receive it at no charge. However they cannot request an Urgent Interloan at no charge. This means that the $5 partial cost recovery for a standard interloan is not charged and if a user requires an Urgent service then the additional $20 is a charge to them personally or to their department by arrangement.

Regional Interloans Meeting being held in Central Library Tuesday 13th April

A meeting of “Interloan” staff from other libraries in the Aoraki region will be held here next Tuesday 13th April, 2.30-5pm in the Level 4 Meeting Room. Attendees may approach staff at the Help Desk for directions. Interloans Staff will also endeavour to have someone there to accompany them to Level 4.

The Interloan Workroom will be closed for the duration of the meeting. There will be a sign on the door, and phone calls will be picked up by Information Services staff – thank you.

Te Puna’s OCLC services are being renegotiated – survey needs completing

I thought that some interested staff here may not have seen the National Library’s request for response to a survey that will assist them to provide us with the best and most appropriate service.

Ruth Miller’s message follows:

“Good morning Te Puna users

To those who have already responded – many thanks

But to those who have not we would be delighted to hear from you.

Last week Library Managers received this message:

The National Library is about to renegotiate the contract for OCLC services and is also looking at ways in which the Te Puna services generally should be reshaped to serve libraries in the best possible way.

Your library’s opinions about these services is always valued, but particularly this year so we can be well-informed as we go into these discussions.

We are hoping for a very wide response to our annual Te Puna Customer Satisfaction Survey as a robust way of measuring the value of these services. We are also likely to follow up a range of librarians with face to face interviews for a more detailed understanding of expectations..

We would appreciate it if you could forward this message to all Te Puna practitioners/users within your organisation and ask them to respond to the appropriate questionnaire. Your library is most welcome to return more than one response, for instance we would expect that we would get several managers to respond from a large library. We are equally happy for one person to return multiple surveys if their work straddles two (or more) areas of responsibility, e.g. cataloguing AND systems.

Last year we had very few responses from Reference Librarians, NZ Collection specialists and Systems librarians. We would appreciate it if you could promote this year’s survey, particularly with these last three practitioner groups.

We realise that responding to a survey takes time out of a busy day, but we’d really like to hear from you, since we use the results both to improve our service and to focus our outward communications around areas of your concern and interest. We also provide individual feedback on particular areas of concern if the respondent makes his/her name available.

Interloans for our users – now supplied with a Book Wrapper

Interloans for our users will now be supplied with a Book Wrapper. Borrowable Interloans will have a scene of the campus and Reference Only items the familiar Canterbury sunrise/set northwest arch.

It is anticipated that the wrappers will make it easier for users and Library staff to locate and process these Interloans, and hopefully be returned with the item!

The Interloans Team will be pleased to hear your comments – or those of any users.

Toner for your new Ricoh mopiers

Interloans and Information Services were told today by the Ricoh technician that there is a problem with the software that informs them when to send toner out to a particular machine in advance of it running out – basically the software is not working and it may be several months until it is. To be sure that you have toner available before it runs out you will need to phone using the Quick Dial Toner Orders information that is attached to the top of your mopier.

Interloan Information for Branch Libraries on the Library wiki ‘How to” page

Information follows for
a) staff processing interloan requests for supply by Central, and
b) for desk staff handling Interloan items sent to their library for pickup/consultation by our users.

a) Branch Supply of Copies and Loans:
– this covers procedures for scanning/copying and exceptions where there are any. Specific instuctions for use of each library’s mopier have been removed from these procedures.

b) Branch Library Pickup of Interloans
– this provides some general information and also covers procedures for service desk staff for handling
issuable and non-issuable interloans, and the procedures for expired Interloan holds.

Please ensure all new staff in your library are aware of these documents.

DPI Awareness Group needs YOU!

The DPI Awareness Group (was the OOS Prevention and Awareness Group) is always looking for new members. The call is out for continuing staff, fulltime or part time, who are interested in health and safety, who wish to learn and wish to help. Training is provided. Commitment is not arduous. The focus of members of the DPI Awareness Group is the presentation of biennial on-site refreshers to all teams/departments in the Library. Nineteen of these sessions are presented over each 2 year period each facilitated by two group members.
