Student Library Discussion Room Booking – Max Booking Duration Change

At the request of the Customer Services team we’ve changed the maximum booking duration for student bookable discussion rooms to 3 hours from the previous setting of 2 hours.  So students making new bookings will now be able to book up to 3 hours in a room per slot (other limits still apply e.g. maximum of live bookings and no back-to-back bookings).  This includes all rooms/areas on the main Library room booking page (except the AV equipment).

This change will allow us to better accommodate students needing the rooms for online tests, hybrid teaching, exam preparation and other uses people have been asking for longer booking slots for.

K drive links in the wiki (and elsewhere)

It seems our reasoning that K drive file links in the wiki etc. would still work after the move were incorrect and all links will now be broken.  This is because the new top level folder is called Library not LIBR-Library.

We talked to ITS about methods for redirecting/updating these in bulk but came to the conclusion that just fixing ones we come across manually is the best option long term.

Fixing the links as you come across broken ones is relatively simple and should just mean deleting the LIBR-Library bit if it is pointing to K:/.  e.g. for Management folder K:/Management.
If it’s a file/departments/LearningResources/LIBR-Library format rather than K:/LIBR-Library it will mean deleting the LearningResources/LIBR- bit so the link starts with  file/departments/Library.

If you come across a page with a lot of k drive document links on it we can do a find and replace on it using the mark-up editor so you can refer these pages to us to do.

K drive move complete

ITS have completed the move of our K drive – it is now at \\file\departments\library.  If you logged off before 5pm today, when you log back on your K drive should now point here and you should be able to access folders/files as normal.

If you’re still working (PC still logged on from before 5pm) you’ll need to log off and log back on again to pick up the new K drive.

Reminder: K drive move/outage from 5pm this evening

This evening at 5pm IT will start moving our K drive up a level in the directory and rename to Library.  The new location will be \\file\departments\Library.

Everyone should make sure all K drive documents they have open are saved and closed before 5pm. 

If you are not working after 5pm this evening please log off before you leave (best if this is done by 5pm).  When you next log on again (after 6/7pm tonight) you should have the new K drive.

For people working after 5pm:
You can keep your computer logged in but please do not access the K drive during 5-6pm (this includes links to files in emails, wiki pages etc.)  After 6pm (may be best to leave it to 7 just in case the move takes longer than planned) if you log off and back on again you should now see the new K drive and should be able to start accessing files again.

Some of you may have some drives mapped to another K drive area – LIBR-Digital (e.g. Repository folder or DigitalDevelopment folder), we’re hoping these will still work after the move but we may have to re-map these.

If you are having problems accessing the K drive folders tomorrow please let us know and we will liaise with ITS to fix them.

Library Access and Collections shared email account problems

Yesterday the Serials folder in the Library Access and Collections email mailbox disappeared.  It was found under Deleted Items and we attempted to move it back.  Unfortunately the subfolders appear to be mostly empty after the move.  I’ve logged an assyst ticket for IT to hopefully restore the folder.

There may be other missing/moved folders e.g. in Drafts there is an Approvals folder that doesn’t look like it belongs there.

K drive move/outage proposed for 5pm Thursday October 15th

ITS are in the process of removing references to the now defunct Learning Resources department.

As part of this they need to move our K:drive to a new location (its current file path is file\departments\learning resources\LIBR-Library – it will be moved up a level to file\departments\LIBR-Library).   The move should be fairly quick but could take a couple of hours, during which time files will be unavailable.

They are proposing a time of 5pm Thursday October 15th to start the move.  If this timeframe is going to cause significant issues for you please let us know ASAP.

We’re hoping there won’t be any significant consequences of the move, especially if ITS can re-map the drives on our computers for us.  Most of the links we have to documents on the K drive are to K:\LIBR-Library\… so will still work as long as our drive mappings are ok.

In preparation for the move ITS are requesting we try to reduce the size of the K drive (smaller folder will take less time to move over).  If there are any files (especially large files like  images, video recordings) no longer required on the K drive in your folders, it would be good if these could be deleted or moved ahead of the move.

We will update with more around this topic as we know more – at this stage they just want to set a date for the move.  They’ll be moving their own K drive before they do ours so should be aware of potential issues that come out of it.

Library email distribution lists names changing

As part of their clean up of all things formerly Learning Resources IT are renaming our _LR Library email distribution lists.

The new name structure will be _Library xxx (where xxx is the list name)
e.g. _LR Library Customer Services will become _Library Customer Services.
We’ve also requested the current _LR Library list be renamed to _Library All Staff.

The changes can be seen now in the address book if you change your view to “All distribution lists” (change from default “Global Address List” in the drop down Address Book menu ).  Otherwise, the new names should appear in the global address book list some time tomorrow (but may take up to 48 hours depending on your Outlook sync). The old ones will remain there until new ones come through and can still be used.

Gates not alarming at present

***UPDATE 29/9 – gates are not alarming again but we’re still having problems with the gate data and currently have no gate count information from  3pm yesterday – working on this with FE tech today – Romy***

We believe gates at all libraries are not currently alarming when secured items are taken through them (tested at central and eps this morning).

The gates are still recording the alarms to the database they connect to (so we have a list of barcode numbers) but are not sounding the alarms.

This is likely to be related to some changes FE technologies made Tuesday midday last week to set us up for their patron mobile app which we are implementing this year (will allow people to check out items via their phones but relies on the gates being notified so they don’t alarm when CKO items with secured tag status are taken out of the building).

I’ve logged a support request with FE tech and hope we can get this resolved ASAP.
