Central Library Team – Update January 2011

Since our last Central team meeting a number of decisions have been made or changed from what I told you. Please have a read through of the attached notes. The items are not in any particular order. Please let me know if you have any questions or comments. I have placed these notes through Counter Culture so that the information is available to all staff if they wish to read them.

Version 2 – Holds and Transit slips

Thank you to all staff who took the time to discuss with colleagues their preferences for the Hold and Transit slip and for forwarding the comments to me. In some cases the suggestions were conflicting, so I have tried to find a balance between the comments.

Donna has prepared updated versions for us which I have attached. Including the message “btype” is to assist with identifying distance and high demand holds.

Please forward any comments to me by Tuesday 18 January. Library IT will be be advised to make the final changes.

Hold and Intransit slips

Library IT have edited the Hold and Intransit slips for me as noted in a previous posting. Please have a look at the attached file. If your library has a printer with a USB port then it will be able to print a receipt with this font size. If you have any concerns regarding the changes to these documents please advise asap. I would like to advise Library IT by the end of the week of the final output.

possible changes to hold slips and intransit slips

I have asked Library IT to provide samples of edited hold and intransit slips for us to consider using this year. On the hold slips I have requested that the name and date be in larger print and that this information be at the top of the piece of paper. This should make it easier in all libraries to find the items and it should mean that staff do not need any further aid other than the slip as printed. At the Central Library holds are moving to self check out so having the name clearer and at the top will be a big advantage.

On the intransit sip I have asked them to move the name of the slip to the bottom which will mean that the library the item is moving to will be as close to the top of the slip as possible. At the moment it is difficult to leave enough of the slip out of the book to indicate which library it is going to.

When Library IT have samples available staff will be asked to comment to ensure a change would not be a negative for anyone. Barbara, Heather and me will make the final decision regarding a change in these slips.

Central Library Windows – Important Notice

The fence around the Central Library has been erected because of the concern that in further earthquakes or strong windows a window frame could work loose and fall to the ground.

Some windows in the James Hight building have been marked with an X. These windows are NOT to be opened.

We have been asked to ensure that when staff open the OK windows that they try to ensure that a few are open on each side of the building, rather than all on one side of the building. Please do not however open all the OK windows at once.

There is great concern regarding the state of the windows so please follow the above request.

Message from Helen Doidge

Thank you very much to all my library colleagues for the lovely dinners, lunches, morning and afternoons teas, kind words, cards, emails and presents over the last few weeks. I feel honoured by your attention and wish you all the best for the challenges of the future.
It is a relief to be able to finish a little earlier and get stuck into the task of sorting out 25 years worth of habitation in the same house. And you thought my office was untidy!

I hope to catch up with most of you next week at the Library lunch, so save up the gossip for me please.See you soon, Helen

Student workers – Central Library

Through job search we have employed some students to return books to the shelves. We are starting on the Level 4 so that the books which are remaining will be requestable as soon as possible. The students are working 4 hr days. Please make them welcome in the tea room. HR staff, Tim O and myself held an induction session for them this afternoon and there will be another one in the morning. Main focus is on working safely, what to do in an earthquake and evacuation procedures. These students have been given access to the lifts on their Canterbury Cards. When they cease working for us the access will be removed.

Collecting from and returning to the Library Warehouse

Until the start of the Academic Year 2011 we are going to trial collecting from the warehouse on Tuesdays and Thursdays only for the general collection. If there is an urgent request then we will retrieve and process within the day. The staff at Macmillan Brown will collect and shelve on Tuesdays and the Central Staff will Collect and shelve on Thursdays.

We have delayed starting the collection as there was still damaged shelving on the floor waiting to be collected by Cemac. I have been assured the shelving will be removed Tuesday afternoon.

I have been in touch with Neill the Warehouse Supervisor and he will organise for the first hamper delivery to be on Friday 29 October. They will collect on Wednesdays and Fridays. This will mean that the work in the warehouse can happen at anytime on the Tuesday or the Thursday. It does not have to be in the morning.

I will get the Central Shelving team to shelve anything currently outstanding in the warehouse Wednesday 27 October.

Message from Margit Dutton

Dear Colleagues

Your well-wishes and being together for my retirement party was a lot of fun on Friday afternoon. Thank you for giving me such a wonderful send-off to a new chapter in life.

I am looking at your beautiful flowers while writing, and wish to thank you also for supporting the RSPCA with your contribution.

With so many years being connected with the Library and the University, my thoughts and interest for the place will remain. But what I will really miss is my place in our excellent team, made up of very nice colleagues whom I am going to miss!

I wish you all the best in the new Library world, and hope that your work and service will continue to be appreciated from students and faculty alike.
