File Management project – update 2

Our project group has been working hard to understand how Library staff use 15(!) different locations to store, locate and find information related to our work.

We now need your help.

We’ve designed a survey where we’d like you to tell us:

  • the locations in which you store and locate the files and information you need for your work.
  • how you are using each of these locations
  • what’s working well
  • what’s working less well
  • how do you think it should be used

We’re expecting the survey to take about 20 minutes. We know how busy everyone is but we’d like you to please plan the time to do this survey by Friday June 22nd.

Project Update 14 – Scanning and Uploading Bound Unreported Judgments to NZLII

My goal is to complete this project in 2018.

Juliet and Wendy have nearly completed all of the scanning for this project. We have scanned content from more than 300 volumes in the last three years (not all full volumes, some we just needed to scan a portion) and weeded approx 200 more where the content has been duplicated. This is unique content that is now more widely available to the legal community rather than sitting on Level 7.

With the exception of some problem files (approx 100) Sue has completed uploading decisions from the Employment Tribunal.

We can see the impact of this work as there are now 8091 decisions in the Employment Tribunal (ET) database. Beth and Sue have uploaded every decision in the ET database rather than us using our collection to fill gaps in established NZLII databases. NZLII users accessed the ET databases 29,586 times in 2017 and 9693 times in the first four months of 2018. Some of this will have been Beth and I checking the uploading – but approx 31,000 unique visits to ET decisions were not from UC. We can only measure to the database level so we can’t measure when we have added content to established databases (such as the ERA, Broadcasting Tribunal, Motor Vehicle Dispute Tribunal and Labour Court) but anecdotally we know the usage of these databases has also increased.

To complete this project – we have approx 500 decisions from the Legal Aid Appeal Authority, Employment Court and ACC Appeal Authority to upload over the next couple of months. Then a small amount of tidying up and then there will be cake!!!!! (and a Chronicle photograph).

File Management project – update 1

I am leading a project to look at our File Management systems and structures as part of the Library’s planning in preparation for a move to SharePoint 2013 (Operational Plan KRA 7.5 “Move internal documentation to SharePoint”) in the future.

Helen is the project sponsor

The project team (Caroline A, Richard, Elizabeth and me) is very aware of the number of places we store our working files and documents. We will be undertaking an environment scan over the next six weeks to identify the ways each team is using each of the 10(!) places we’ve identified.

The project team is keen to hear about what is working well but what problems with the current system have an impact on your work. We will be in touch!

Lexis Advance and WestlawNZ issues

Kia ora,

Sara, eServices and I are aware of problems with each of the two big law databases (Lexis Advance and WestlawNZ).

In essence:

Lexis Advance. Students/staff need to log-in with yourusernameandnumber@canterbury.ac.nz [rather than @uclive]. The issue with the UC wireless has been resolved but if people are still having trouble we need to know.

WestlawNZ is currently not allowing two sessions in the same browser (i.e. if you use WestlawNZ then close the tab and try to access it in another tab it will show a white screen). The current resolution around this is to get students to clear their cache and use another browser (i.e. Explorer rather than Chrome) . We are working on a resolution to this problem.

We want to know when people are having a problem with either database especially if they come to the desk or ask on AskLive for help. It would help if they/you could send us a screenshot and the details of what browser they/you are using and if they/you are on/off campus.

LAWS110 – online modules

Today the LAWS110 online modules went live.

Students are being asked to complete 3 modules made up of 5-7 videos and then complete a quiz worth 10% of their final grade. These are on the LAWS110 Learn page under Legal Research Skills.

They will need to use Echo, WestlawNZ and Lexis Advance.

They may encounter problems if they are using their own laptops or accessing them from home. With the amazing help of eServices and IT we think the Lexis Advance login issue has been resolved however there are other issues that may appear.

The modules will work if the students use the UC computers and access them on Internet Explorer. 

Students have until 29th March to complete the modules and quiz.

AskLive and Lexis Advance

Hi – a reminder that students need to log-in to Lexis Advance (the replacement for LexisNexisNZ). I know there have been a couple of AskLive queries.

Lexis Advance – new platform

LexisNexisNZ has been replaced by Lexis Advance.

This is one of our two big New Zealand legal databases with cases, legislation, commentary and journal articles.

A massive change is that students will need to individually log-in the first time they use the platform. At present they need to log-in with the following format:

usernameandnumber@canterbury.ac.nz [i.e. tal38@canterbury.ac.nz]

eServices, IT, Peter H, Sara and I have been working behind the scenes for months to get this ready in time for Semester One.

We have updated the Laws Subject Guide and over the next couple of days we (with the amazing assistance of eServices and Peter H) will be updating the catalogue links, webpages and ALL our teaching materials.

NZLIMJ v.56 no.2

A few months ago I had this crazy idea that Anton and I could edit the formal NZ academic library journal and make it awesome, open access, modern and reflect that Librarians should be championing making our stories as accessible as possible.

Project Update 13 – Scanning and Uploading Bound Unreported Judgments to NZLII

Hopefully not unlucky update #13.

Sue has just uploaded the 7000th NZ Employment Tribunal decision to NZLII here: http://www.nzlii.org/nz/cases/NZEmpT/

Between these and the Employment Relations Authority and Motor Vehicle decisions we uploaded in 2016 we’ve now uploaded over 10,000 decisions from our bound volumes to NZLII.

This is a massive contribution for the NZ legal community.

Beth, Sue, Wendy, Juliet and I still have a little more work to do on this project in 2018. We need to finish the Employment Tribunal uploading and then scan and upload a much smaller number of decisons from the Legal Aid Appeal and Review Authorities as well as some from the Employment Court and ACC Appeal Authority.
