Book orders in time for Semester 1, 2024

I was asked about this today, and thought I would send out a message to the LLOs and Library Committee along these lines:

Now is an ideal time to inform the Library about any book orders you require for Semester 1, 2024. We anticipate closing the 2023 book ordering process in November for a few reasons:

  • To allow the Library team time to process invoices and acquire as many items as possible within this year’s budget
  • To complete financial reporting requirements in time for year end
  • To minimise the volume of pending orders that would need to be transferred to the 2024 budget, and to our new library management system.

Prepay open access agreements reaching cap

The Springer and Wiley prepay open access agreements are on track to reach cap by approximately early November.  Once a prepay open access agreement has reached cap, this means that authors have three choices:

  1. pay the APC to publish their article open access
  2. publish their article closed access
  3. make an application for support for funds from the Library’s open access fund

CAUL strongly prefers to enter into uncapped agreements with publishers wherever possible for this reason.

New Library system demos this afternoon and tomorrow afternoon

This afternoon and tomorrow afternoon there will be vendor presentations along with time for Q&A for the new library system contenders.  Details on Teams.  There is the option to join these online or come in person (noting there are room space constraints so please have a conversation with your manager/colleagues if you’d like to come in person).  From 4-4:30pm there will be the opportunity to provide feedback to the evaluation panel who will be doing the scoring regarding your thoughts and observations.  Reference checks are also underway,

SharePoint 2013 sites will be moving SharePoint 2016

Kia ora

Digital Services have provided notification that all SharePoint 2013  sites will be migrated to SharePoint 2016.  They would like to do this before the end of May.  The rationale is:  This is a necessary interim migration, as Microsoft support for SharePoint 2013 literally ended yesterday. All SharePoint 2013 Sites … are being migrated to SharePoint 2016, to keep things compliant and secure.

This will impact a number of Library files on SharePoint 2013 including:

Could you please post a comment on here if there are a) any issues or concerns with this and/or b) any dates over the next six weeks we should advise Digital Services to avoid doing this work.

Modern Library Management Project – Teams site

Kia ora koutou,

This morning I have added all Library staff to a new Teams site “Modern Library Management”.

The purpose of this Team is to facilitate communication and coordination as the project progresses during 2023 to replace Horizon. The channels in this team will be used by the respective functional groups to share documentation, progress and decisions, for online discussions and to keep colleagues in the loop as the project progresses. The MLM Project Home page provides links to the anticipated timeline, updates and information about the project structure.
I plan to decommission the “MLM Project” channel in the Library All Staff team in the near future.

Modern Library Management Project (Horizon replacement) – 2023 update #2

I’m overdue to give you an update on the Modern Library Management (Horizon replacement) project since our last update in January.

In this update I wanted to provide you with some of the background including:

We’re currently working with the project team to finalize further details required in the Business Case in preparation for the Request for Proposals which will then be released out to the market. We’ve also been meeting with the Project Manager (Tony McNally) and Procurement (Ivo Wynn-Williams) to further clarify aspects around the procurement process. Helen and I will be meeting on Friday 24th February to do more thinking and planning around the Library implementation phase which will kick off in earnest in June/July once a new system is selected.

Comments and questions are most welcome at any stage. You can send these to me directly or comment in the Teams chat. I am compiling a list of questions and will be regularly updating this file with responses.

MLM Project (Horizon replacement) confirming details for tomorrow’s prioritisation session for the functional requirements

This is to confirm the schedule for tomorrow’s functional requirements prioritisation tomorrow Thursday 19th January in Totara (Room 520 PJH Level 5).Just turn up to the timeslot of interest to you/your area

If you have comments on these but won’t be able to come tomorrow you are welcome to add your comments (suggest add your initials) in the “Comments” column. First click either Edit or Edit in grid view so you can add a comment and remember to Save when done.

Otherwise in the sessions during the day we will discuss and edit these as we go.

The main activity is to prioritise the list and identify the “must have” requirements, followed by “should” or “could” haves. Please review this guidance for example criteria considered for these. The threshold criteria for ‘must have’ is high, basically the solution will fail without it.

The final decision-maker/s as to what goes forward as ‘must haves’ will rest with Helen or Kat as Sponsor.

Modern Library Management (Horizon Replacement) Project update

A big thank you to everyone who has been involved in meeting  Vinny Ahluwalia (Business Analyst) to help us compile a list of requirements for a new library system. Your contributions have been valuable and we very much appreciate the effort and time you have taken to be involved.

We are now doing some fine tuning on the list which includes looking at some of the requirements Massey identified when they were doing a similar exercise. We expect to share this by Tuesday next week.

Our next task is to collect any further feedback or comments and to prioritise the list of over 200 requirements identified, particularly to identify which ones are key (must haves).   We will set aside next Thursday 19th January in the Totara meeting room (PJH 520) to do this.

I will be in touch shortly with the subject matter experts who have participated so far but this is also a general invite to anyone interested.

We will structure the day by category (for example acquisitions, invoicing, catalogue, electronic resources management, circulation, requesting, fines and charges etc) so you can pick and choose which times/areas you are interested in/would like to come along to, and just turn up on the day.

I will be in touch again early next week with more information.
