Library Health and Safety Assessment

This year the library will be subject to an external Health and Safety assessment this year. This has been set for Tuesday 30th of October.

The format will be different from previous years and will follow the plan outlined by Paul Coleman at the meeting on Monday 30th April where he outlined the “Safe+” assessment tool.

Helen and Tim have met with Paul (and other LR managers) to have a more detailed talk about what will be required. Paul is planning to conduct interviews with staff beginning with library management and including some selected members of all teams. The meeting with “grassroots” staff will take the form of a focus group. This could include a member of the late team as well as LAC staff and CS team members. The purpose of conducting an assessment by talking to a wide variety of staff is to assess just how far Health and Safety has become part of our culture.

Six weeks prior to the assessment the Library Health and Safety Committee will be requested to provide information about how we manage three of the risks that Paul has identified out of our RMSS hazard register. We will compile the information and submit it three weeks prior to the assessment date. Based on that Paul will then announce the themes that he will discuss at the assessment meetings. Part of the assessment day will include a walk around to see how Health and Safety works in practice in the library.

Some of the things that Paul will definitely want to see are our Hazard register, Training register, examples of how we have reduced risk, Induction documents, records of meetings and examples of recent purchases that help to reduce risk.

The review will conclude with a “close-out” meeting where Paul will have suggestions for improvement.

There is information about the Safe+ assessment process available online: https://worksafe.govt.nz/about-us/who-we-are/our-priorities/safeplus/resources-guidance/

Information available on this webpage includes the following documents which outline the sort of questions and analysis that we can expect in our assessment.

For managers: https://worksafe.govt.nz/dmsdocument/2566-questions-for-senior-managers-safeplus-performance-requirements

Supervisors: https://worksafe.govt.nz/dmsdocument/2569-questions-for-line-managers-and-supervisors-safeplus-performance-requirements

Front line staff: https://worksafe.govt.nz/dmsdocument/2575-questions-for-frontline-workers-safeplus-performance-requirements

Helen has agreed to be the immediate contact for the assessment (in the pending absence of Joan).  Work involved in meeting the assessment requirements will  be delegated as the need arises.

PJH Emergency Evacuation procedures

In conjunction with the casual staff training there will be a session for staff on Wednesday 9th May at 9.45am to explain the emergency evacuation procedures for the Puaka-James High Building.

The session will be in two parts.

First (9.45am-10.15am): practical considerations for evacuating the building. This will be  a walk around to think about the building in terms of needing to evacuate in an emergency (not the building in terms of being a library). If you are an existing staff member or established staff member who has moved into the building you are welcome to come along to refresh your memory.

Second (12.00-12.30): Health and Safety introduction for new casual staff.

Please meet in room 203 (Customer Services) at 9.45am on Wednesday.

Health and Safety Induction documents

Hugh and I have revised the Health and Safety induction documents for new staff  at the library. They are saved here: K:\LIBR-Library\Health-Safety\Staff_induction _training_and_duties\Staff induction documents

The slide show is designed to support a half hour discussion about UC and library safety procedures. The msword document is designed for staff to take away and read through before signing off and returning to their manager.

A formal Health and Safety induction will also include a  building specific induction.

If you are hosting visitors to campus there is a pamphlet here: K:\LIBR-Library\Health-Safety\sign-in-sheets-and-procedures\Visitor Health and Safety Information.docx The amount of information offered to visitors will depend on how long they are here for and will be dependent on the situation.

DPI tip for April 2018

3 tips for using your computer mouse to prevent arm, wrist or shoulder pain.

  1. Gripping your mouse – Hold your mouse lightly with a relaxed grip – there is no need to hold on tight as this tenses your muscles, which can cause DPI. The mouse should glide gently.
  2. Keep your mouse as close as possbile to your keyboard – your arm should be close to your body and not outstretched.
  3. When moving your mouse- keep your wrist straight, don’t twist or bend your wrist.

DPI (Discomfort, Pain and Injury) refresher sessions

The DPI Awareness team are running annual DPI refresher sessions for Library Staff on the following dates:

Wednesday 11th April 9:30-10:30am
Thursday 12th April 2-3pm
Tuesday 17th April 11:30-12:30pm

All will be held in Poutama (Level 3, Central Library, Puaka – James Hight). Come along and hear how you can prevent DPI while at work.

Please attend if you are due for a refresher. You can find out if you are due for a refresher – there’s a register here (K:/LIBR-Library/Health-Safety/Staff_induction _training_and_duties/LIBRARY_TRAINING_REGISTER.xlsx).

Register for sessions here: http://canterbury.libcal.com/calendar/staff-development

Library managers please note the time on the 17th has been changed from that previously advised so it doesn’t clash with the staff forum.
