New Staff Recruitment Platform – What is happening ?

What is happening?

In line with the UC Staff Recruitment Strategy and as part of an ongoing commitment to operational excellence and continuing process improvement, Human Resources has reviewed the current continuing and long-term fixed term staff recruitment system (currently UCPeople/PeopleSoft Recruitment Module).

We have now commenced on a project to replace the current UCPeople/PeopleSoft recruitment module for continuing and long term fixed term staff recruitment.

Note: University of Canterbury Temporary Vacancy System (UCTV) is not affected at this stage.

What are the benefits ?

Some of the benefits of the new solution selected is:

  • easy to use,
  • mobile capability,
  • ability to build candidate talent pool,
  • opportunities to further automate and improve process for faster turnaround of staff recruitment,
  • easier and faster on boarding of new staff,
  • cloud based recruitment platform, less maintenance from UC required,
  • easy integration into UC’s HR systems.

What is changing?

The new staff recruitment platform will enable technology and process changes across UC:

Technology

  • Replacing unreliable, outdated recruitment platform with a user-friendly, cloud-based recruitment solution,
  • Replacing manual Recruitment Business Case (Word)  (HR Intranet, staff access only) with an online form and workflow,
  • Implementing a Talent Pool system capability, so that candidates can receive notifications on roles they are interested in and load their information into our ‘talent pool’.

 Process

  • Online Recruitment Business Case and approvals
  • View applications online
  • More automated recruitment processes
  • Candidate accessibility
  • Enabling manager led recruitment
  • Offer Letters to be sent and accepted via the Recruitment Platform
  • Online forms (e.g. Personal Data Form, Bank Account, IRD330 etc.)
  • Automated Hiring process – payroll information fed directly into UCPeople/PeopleSoft via Robotic Process Automation (HireMe)

The new staff recruitment platform will go live by the end of November 2019.

A New Staff Recruitment Platform is coming!

In line with the UC Staff Recruitment Strategy and as part of an ongoing commitment to operational excellence and continuing process improvement, Human Resources has reviewed the current continuing and long-term fixed term staff recruitment system (currently UCPeople/PeopleSoft Recruitment Module).

The detailed investigation of potential technical solutions, to address some of the challenges we currently face, focused on how to:

  • improve the candidate experience and engagement
  • make the system more user-friendly for applicants and Hiring Managers
  • future proof the system to grow with UC’s needs and supports the Staff Recruitment Strategy
  • enable UC Hiring Managers to be more actively involved in the recruitment process
  • create a talent pool
  • automate and speed up manual processes

Following due diligence and a detailed research phase, we are delighted to have found a technical solution that meets UC’s needs.

PeopleSoft system maintenance

The PeopleSoft system, including UC Vacancies and UC Temp Vacancies, will be unavailable from 12pm, Tuesday 26 March until 8.30am, Wednesday 27 March due to planned system maintenance.

We encourage staff to complete any urgent PeopleSoft self-service transactions prior to the outage, and log out of PeopleSoft.

We apologise for any inconvenience that this may cause.

If you have any questions about this maintenance, or problems once the system is restored, please contact the IT Service Desk.

PEOPLESOFT UPGRADE – WHAT’S CHANGING FOR MANAGERS?

UCPeople (PeopleSoft) will be upgraded in September, bringing with it a new look, mobile capability, new search capabilities and easy user navigation.

Changes include, but are not limited to:

  • Approval of future booked leave cancellation requests
  • My Team Tile – Supplementary Analytics Panels replacing Manager Dashboard Reports
  • The ability to approve and enrol your staff member(s) in Professional Development Courses and Health & Safety Courses run by UC/L&D.
  • Global Search functionality – enables a quick search using keywords for menu items. Search results displayed as per security access.
