The new Working from Home Guidelines

Working from home during lockdown raised many questions and a lot of feedback.

In response, the People and Culture team have created Working from Home Guidelines to support staff and mangers with information and guidance in relation to working from home.

The Working from Home Guidelines are in support of our existing flexible working from home policy.

The University’s Flexible Employment Policy offers a framework for considering flexible working arrangements that support a balance between work and personal life.

Self-Care reminder while Working from Home

With majority of us working from home, it is important that we remember to take some time out to care for ourselves. Practicing good self-care will help to boost our mental health and wellbeing and make us feel more energised.

If you’re feeling burnt out or simply just need a break why not give some of these tips a try:

  • Unplug and log off social media.
  • Find a comfortable study or work space away from distractions.
  • Set aside 30 minutes to be active – Check out UC Rec Centre’s facebook page for some great workouts!
  • Drink at least 8 glasses of water each day.
  • Make a 20 minutes playlist of essential tunes.
  • Reach out to friends or colleagues when you need a break.

Staff Pulse Survey

We’ve had an exceptionally pleasing response to our first wave of Staff Pulse Surveying of 1185 responses.

The data pulled shows that 79% of staff feel supported by UC and trust the Senior Leadership Team (SLT) to make sound decisions. 70% of staff report as having a good level of Wellbeing. We note that only 39% of staff are feeling secure in their jobs and qualitative data suggests this is linked to the recent SLT portfolio changes as well as uncertainty of the current Covid-19 situation. Analysis of qualitative data shows staff are reporting that they would like more visibility of financial impacts and future planning that is taking place.

76% of staff have found the communications useful and feel informed of ongoing status changes. Qualitative data suggests that the quantity and quality of communications has improved and streamlined as we have journeyed from our initial response to now.

The working environment shows 70% of staff are feeling productive, so around 30% of staff are struggling with productivity and this is mainly related to having access to appropriate resources and struggling with family care arrangements. Qualitative data suggests some staff are worried about equity in processes like sabbatical, PBRF and promotions where productivity has been impacted.

The results of the survey were released to the SLT on Wednesday afternoon. The SLT are now in a position to collectively analyse the data and implement some strategies to address concerns. The data will also allow each SLT member to analyse the responses for their localised area and work to address issues of concern that are relevant for them.

Analysis on the qualitative data continues and will continue to be shared as more key themes emerge. The data gathered to date has provided a wealth of knowledge that helps support all staff, including ways for you to access important equipment on campus. Please be assured of you anonymity and that the SLT are listening and will act on concerns raised. With that in mind we strongly encourage you to continue to participate.

Self-Care Reminder

Now that term 2 has begun, with majority of staff and students working/studying at home it is important to remember to continue to practice good self-care. Practicing good self-care is key to maintaining a healthy Wellbeing and living a well-balanced life.

Why practice self-care?

  • Better productivity
  • Enhanced self esteem
  • Increased self-knowledge
  • Improved physical health
  • Increased resistance to disease
  • Healthier lifestyle

Start an Instant Zoom Meeting from Outlook

If you have installed the Zoom meeting buttons in Outlook, here’s how you start a meeting.

But before we get started
A REALLY IMPORTANT NOTE: Zoom is not about conducting visual phone calls (such as in Skype for Business). Zoom is about creating a virtual “room” in which you can meet with people. So you don’t “call” someone – instead you go into a virtual meeting room and then invite them to join you.

  1. Open Outlook
  2. Click the Start Instant Meeting button, located on the Home Ribbon. (If the Zoom buttons are not there, install the Zoom meeting buttons. If you have installed them but they are still not there, restart Outlook.)

  • a Zoom meeting window opens (probably showing your face, if your video camera is on; but note that some laptops have a little sliding plastic cover across the video camera)
  • NOTE: you are now “in a virtual meeting room”

Now invite those you wish to meet with, to join you in your virtual meeting room:

  1. Click the Invite button on the toolbar at the bottom of the Zoom Meeting window. (If you don’t see the toolbar, it will appear when you move your mouse across the Zoom Meeting window.)

  2. Type the names of people you wish to meet with.
  3. Select each name and click the blue Picture of Zoom invite button button in the lower right corner
    – each participant will have a little pop up appear on their screen (accompanied by a sound) inviting them to join you in your meeting room. They can accept or decline the invitation. If they decline, you will be notified. 

NOTE:
– if you need to mute your microphone or your video, use the buttons at the left end of the toolbar
– to end the meeting click the red End Meeting text at the right end of the toolbar
